When Will My Shift Be Approved?

Shift approval is based on the specific site’s requirements and scheduling protocols. Each site has its own internal process, and timelines can vary. To help ensure requests are sent to the site as quickly as possible, it's important that students complete all required paperwork and training thoroughly and accurately at the time of request submission. Once everything is submitted, the request will either be automatically distributed to the site or, in some cases, Axon might need to complete an additional step before sending it manually. This depends on how the site has asked Axon to handle requests. Some sites have multiple requirements that must be met before a request can even be sent to the provider, so it’s essential for students to stay vigilant and regularly check their email for required tasks.

Once the request is sent to the site, the response time can vary. Some sites respond with an approval or denial on the same day, while others may take several business days. In some cases, a site may not respond at all, or they may wait until the day before the requested shift to provide a decision. Because of this, students should do their best to reserve the requested date in case the shift is approved at the last minute. Axon will follow up with the site if a shift date is approaching and still unconfirmed. Students are also welcome to request that Axon reach out to a site on their behalf.
Notes
Clinical sites provide learning opportunities as a courtesy, and it’s important that we maintain strong professional relationships with them. For that reason, all communication with clinical sites must be handled solely by Axon staff. 
Please note that the Axon Student Portal is fully transparent, and shift approval or denial notifications are typically sent to both the student and Axon staff at the same time. This means Axon staff will not have any additional insight into approval status beyond what the student can already see. Students should regularly monitor their "My Shifts" dashboard in the portal for status updates. Students are not permitted to attend any shift that has not been officially approved in the portal. Attending an unapproved shift will result in the hours and patient contacts not counting toward program requirements and may also constitute a violation of student conduct.

Student outreach to a clinical/field site is prohibited, as it can overwhelm site schedulers and may lead to confusion or misinformation if a student contacts someone who isn’t responsible for scheduling at that site/department.
